Consumer Healthcare (CHC) Global Business Services (GBS) drives transformation projects to ensure it delivers best in class processes in terms of quality, cost, performance, customer satisfaction and needs, supported by high quality master data and performance KPIs.

Main responsibilities:

For PEOPLE SERVICES, GBS will be covering the following areas of the process:

  • Organization & Employee Master Data: data accuracy and data completeness
  • Employee Life Cycle Management: from hiring to retiring, including contract and job changes
  • Employee queries: global and local articles, ticketing
  • External Workforce: data management, onboarding and offboarding
  • Transversal: reporting, compliance, continuous improvement
  • Time to Pay (T2P): benefits, payroll data, calculation, post payroll and support activities

GBS People Services Head of Asia & Middle East is looking for a GBS People Services Manager Japan covering the following areas of the process:

  • Bring expertise on Japan benefits, time & attendance and payroll
  • Support Payroll and Reporting needs if require
  • Manage local and global stakeholders/vendors
  • Promote global Core model and support standardization & harmonization
  • Transversal: compliance, continuous improvement, projects
  • Supervision of the team of Employee Lifecycle and Time to Payroll Country Specialists: workload monitoring, backup allocation, planning for time off covering
  • People Management responsibilities: setting and following-up annual goals, supporting the team in creating IDPs, evaluating team performance.
  • KPI monitoring (monthly) – upwards reporting
  • Improvement / projects tracking – upwards reporting
  • First point of contact for stakeholders and escalations
  • Depending on the country processes: signatures and approvals management

The People Services Business Partner reports to GBS People Services Head of Asia & Middle East. He / She works closely with P&C, Legal, Finance, Digital and Facilities management at regional and country levels and People Services teams in Japan and KL.

About you

The purpose of this role is to:

  • Manage individual and team performance: Supervision of the team of Employee Lifecycle and Time to Payroll Specialists: workload monitoring, backup allocation, planning for time off covering, setting and following-up annual goals, supporting the team in creating IDPs, evaluating team performance.
  • Benefits, time & attendance and payroll expertise: Oversee the preparation of onsite benefit data including the collation of submissions from internal team and third-party suppliers/ BPO. Become point of contact for payroll & benefit KL team, connecting with local and third-party stakeholders. Develop and apply up-to-date knowledge and awareness of local legislation.
  • Reporting & KPIs delivery: Ensure the completion of accurate & timely reporting to third parties including pensions & company benefit, together with all other reporting for Finance and business requirements. Oversee preparation of ad-hoc reports as required in line with data protection requirements. Ensure GBS People Services Executive KPIs Japan deliver with high quality and in compliance manner.
  • Stakeholdersmanagement: Liaise with HR COEs such as Rewards & Performance, Talent Acquisition and People & Culture Business Partner.
  • Core Model Change Agent: Ensure that People Services Global Core model implement in Japan with minimal exception/deviation. Identify process improvement/ process simplification opportunities through elimination of redundant activities. Lead local implementation of new ways of working in Japan, this includes communication to employees, demos, trainings…
  • Compliance: Ensure that People Services process in Japan fulfill Internal Control framework. Support KL Team to identify and implement action plan in case of Internal or External Audit finding.
  • Continuousimprovement: Drive the process automation initiatives and ensure seamless adoption and transition for Japan. Bring best practices and benchmark trend. Lead/Participate in global projects as required and if applicable.
  • Employee Queries: assist employees on any questions related to benefits, time and payroll. You will also provide certificates, support terminated employees if needed…



  • The ideal candidate for this position must be fluent in both English and Japanese, as they will be required to communicate effectively in a business setting in Japan and with regional stakeholders and participate in global business interactions. Additionally, this role will need excellent ability to communicate orally and in writing in both Japanese and English.

He / She works closely with P&C, Legal, Finance, Digital and Facilities management at regional and country levels and People Services teams in countries and KL Hub.
