Main responsibilities:
This role in the Chief Talent Office COE reporting to the Lead Talent Acquisition, Bogotá HUB will be part of the Bogotá Hub Talent Acquisition Team. The Talent Acquisition Administrator plays a crucial role in providing administrative support to the Talent Acquisition team, facilitating the recruitment process, and ensuring smooth operations. This role involves coordinating various recruitment activities, managing candidate communication, and maintaining recruitment records accurately.
Interview Scheduling
- Assist with scheduling interviews, coordinating interview logistics, and arranging travel arrangements for candidates as needed.
- Monitor and manage interview schedules to ensure adherence to timelines and avoid scheduling conflicts. Maintain accurate records of interview schedules, candidate communications, and interview feedback in the applicant tracking system (ATS) or recruitment database.
- Usage of automated technology tools in the process.
Background Verification
- Coordinate with candidates and external background verification agencies to ensure timely completion of the verification process and obtain report. Communicate with candidates to request additional information or documentation as needed to fulfil the insufficiencies.
- Analyze background verification results and make recommendations to TA partners, lead based on findings.
- Maintain accurate records of background verification activities, including documentation of all communications and outcomes.
- Ensure compliance with legal requirements and company policies related to background screening and privacy regulations.
- Usage of automated technology tools in the process.
Data Management and Reporting
- Collect, organize, and maintain recruitment data from various sources, including applicant tracking systems (ATS), recruitment platforms and ensure data accuracy and integrity by regularly auditing and cleaning recruitment databases and systems.
- Ensure timely availability of cleaned data to generate standard and ad-hoc reports to track key recruitment metrics, such as time-to-fill, cost-per-hire, source effectiveness, Diversity hiring trend etc.
- Offer and Joiner Data Management
Payment Processing
- Ensure timely payment of professional fees to vendors. Travel expenses reimbursement towards personal interview, Pay-out towards Employee referral program etc. collaboration with finance, procurement, HR organization.
Additional
- Provide administrative support for other talent acquisition initiatives, such as employer branding campaigns and diversity recruitment programs.
- Coordinate recruitment events, job fairs, and career expos, including logistical planning and promotional activities.
- Relocation assistance to candidates during Domestic and International relocation.
- Be part of the technology enhancements related to TA Operations.
About you
- Experience:
- Previous experience in an administrative role, preferably in a talent acquisition or HR environment.
- Knowledge of background screening processes, including employment verification, education verification, and criminal history checks.
- Soft and technical skills:
- Strong attention to detail and ability to conduct thorough investigations to verify candidate information.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with applicant tracking systems (ATS).
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines.
- Good communication and interpersonal skills, with the ability to interact professionally with candidates, hiring managers, and team members.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive attitude and willingness to take initiative to support the talent acquisition team, keeping candidate and hiring manager experience as top priority.
- Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
- Education: Bachelor’s degree.
- Languages: Advanced level of English. Portuguese or French is an added value.
