Project Manager – Medical Innovation-MedDev

As part of Medical Innovation – MedDev team, we are seeking a Project Manager to oversee and ensure timely delivery of all project milestones in collaboration with other internal teams. This role will be pivotal in coordinating efforts to meet deliverable timelines, particularly focusing on MedDev operating model and MedDev Digital Capabilities within the Specialty Care Therapeutic area.

Main responsibilities:

Operation

• Manages and monitor the day-to-day operation of office administrative tasks for the Medical Innovation team; ensures smooth workflow and efficiency related to administration.

• Schedules and maintains regular meetings for MedDev team, taking care of the calendars of the team and corresponding with other assistants.

• Collaborate with MedDev team to develop, coordinate, and implement detailed project plans.

• Ensure all project deliverables are met within the specified timelines.

• Monitor project progress and adjust as necessary to meet deadlines and program objectives.

• Facilitate communication between the MedDev team and other internal teams to ensure alignment and clarity on project goals and timelines.

• Support the development and execution of MedDev and MedDev digital capabilities.

• Coordinate workshops and logistics for internal meetings (hotel, activity venue, meals, travel details, etc.). Manage bookings and facilitate of all types of meetings including booking of meeting venues and ordering catering for large meetings.

• Organize international and domestic travel arrangements and administration as required including expense reimbursements in Concur.

• Manage suppliers in ordering resources and services including initiating POs and overseeing the delivery.

• Manage event coordination and ensure seamless coordination with stakeholders.

• Manage e-mail distribution lists and business system access administration (req submission, follow up) as per functional inquiries.

• Spearhead and maintain the MedDev SharePoint site, ensuring up-to-date content accessibility for internal stakeholders.

• Effectively collaborate with cross functional teams to update content and liaise with strategy and operations leads for alignment, supporting effective cross-functional communication and resource management.

• Regularly track and monitor project status, organize timelines, plan project milestones, set reminders, measure project’s progress, share status and success.

• Prepare for meetings, develop presentations, manage multiple deadlines, and maintain oversight of critical details.

• Drive project governance meetings with various stakeholders, vendors, logistics and digital team etc. and execute effective coordination to track and monitor the progress of the projects

• Being a strong point of contact on Zoom/telephone to ensure all queries and issues are dealt with or escalated as appropriate.

• Support contract management with the establishment of contract with internal and external vendors. 

Key Skills

• Proven experience in project management, particularly in medical transformation and new product planning.

• Engaging presence, proactive thinking with excellent communication skills.

• Strong organizational and time-management skills.

• Ability to work effectively with external agencies and internal cross-functional teams.

• Familiarity with Specialty Care Therapeutic areas and the North American market.

• Proficiency in using project management tools and software.

• Effective communication and interpersonal skills.

About you

•Proactive personality with minimum 10 years of experience

•Proven ability to work effectively in a team-oriented environment.

•Demonstrated organizational skills and ability to prioritize.

•Strong project management skills and sound understanding of medical science.

•Previous experience in a managing medical and digital projects within a fast-paced business.

•Proficient at providing calendar support.

•Eloquent at communication through social media networks such as, Yammer and Linkedin

•Proven ability to meet deadlines and make best use of limited resources.

•Strong team player who is self-motivated and able to multi-task under pressure.

·Education: College graduate (advantage: manager assistant, secretary qualification)

·Languages: Business fluent in English, both written and spoken.
