Main responsibilities:
- Supporting the collection and tracking of Training Subsidy documentation.
- Providing operational support for the day-to-day activities and processes of the Budapest HUB.
- Maintain data up to date in Hub Space Utilization dashboard.
- Taking ownership of assigned tasks and proactively communicating Progress and blockers to the team.
- Assist in the management of data, maintaining records, and preparing reports to support business operations and decision-making.
- Performing documentation and administrative tasks to ensure accurate and up-to-date records.
- Supporting facility management processes and workplace-related operations.
- Participating in process improvement initiatives and operational development projects.
- Assisting in the coordination of internal visits and events, including high-level ones.
- Maintaining and updating information related to company visits, events, and visitor attendance records.
- Supporting procurement processes by submitting and tracking purchase requests in line with operational needs.
- Liaising with external vendors and business partners under the guidance of the team.
- Participating in meetings and supporting follow-up administrative activities.
- Preparing invitation letters and other administrative documentation required for international visitors and business travelers.
- Collaborate with team members on ad hoc assignments and assigned projects.
About you
Experience:
- Ongoing university studies (active student status, final year) studying a degree in Finance or Economics or related subjects
- Min. 20 -hour availability/week
Soft and technical skills:
- Problem-solving mindset - resourceful and willing to figure things out rather than waiting to be told what to do
- Proactive communication - comfortable asking questions, flagging issues early, and keeping the team informed of progress
- Basic data management and data analysis skills - ability to maintain databases, update records, and ensure data accuracy
- Proficient in Microsoft Office (mainly excel) - you'll use these daily for data tracking, reports, and documentation
- Attention to detail - Accuracy matters when maintaining records, preparing reports, and handling documentation
- Team collaboration - able to work well with colleagues across different functions and seniority levels
- Adaptability - comfortable with changing priorities and ad hoc requests in a dynamic environment
- Comfortable learning new digital tools; coaching will be provided, but you should be tech-savvy and quick to pick up new software
Languages:
- Hungarian language - helpful for local vendor coordination and facility-related tasks
- Fluent in English (written and spoken) - this is our working language for documentation, emails, and meetings
