The Maintenance Planner/Scheduler will be responsible for the planning and scheduling processes of maintenance work orders to sustain equipment reliability through leverage of individual trade capacities and customer requirements. Supports progressive maintenance culture through provision of maintenance plans and schedules targeting equipment availability and optimizing equipment reliability on an ongoing basis. Operate and administrate the SAP Plant Maintenance module as it relates to the planning and scheduling process.

Main Responsibilities:

(50 %) Responsible for planning and scheduling large volume of work orders per month for multiple trades in a unionized environment

  • Plans and schedules weekly and shutdown reactive and preventive work orders using SAP

  • Plans and schedules maintenance shutdown activities, including HVAC systems, facility, or site-wide.

  • A good understanding of workload forecasting

  • In collaboration with end users, ensure the availability of equipment and facilities for the execution of reactive and preventive maintenance work.

  • In collaboration with end users, schedule external resources required to perform maintenance work within both GxP and non-GxP areas.

  • Coordination of exceptions to the scheduled preventive maintenance work as required.

  • Follow up with end users and internal maintenance organization both verbally and with metrics to ensure compliance and meeting of exceptions with regard to work.

  • Support planning and scheduling meetings for maintenance interventions.

  • Report and manage existing metrics.

  • Coordination of weekly and shutdown maintenance planning and scheduling of reactive and preventive work.

  • Plan/schedule maintenance shutdown activities, including any other function participating in the shutdown, such as Engineering, Utilities, Operations, etc.

  • Work with the Materials Coordinator to ensure the availability of both stocked and non-stocked materials to ensure the execution of maintenance plans.

  • Perform the assessment of maintenance requests in the field, ensuring that the maintenance order is created correctly, containing the correct spare part, time to perform the work and the correct type of technicians to carry out the work.

(30 %) Utilization of the SAP maintenance planning module:

  • Create SAP reports to support the maintenance planning/scheduling team function.

  • Analyze data from the SAP system to develop and support reliability and/or business initiatives.

  • Development of new metrics as required.

  • Manipulated and analyzed data from the SAP system to develop and support reliability and/or business initiatives.

(20 %) Collaboration

  • Collaborate with a variety of production, technical, quality and safety representatives to ensure positive working relationships with internal and external customers.

  • Provision of data and reports as requested for site management in response to questions and queries.

  • Attend customer meetings to ensure communication of changes and receive feedback.

  • Signage of completed work orders by end users.

  • Provision of data and reports as requested for site management in response to questions and queries.

  • Support the Reliability and Maintenance Engineering function.

HSE REQUIREMENT/STATEMENT

  • Works within the policies, procedures and regulations as required by the Company and under the Occupational Health and Safety Act.

About You

Functional/Technical skills

  • Must have an understanding of related professions/trades related to the maintenance of equipment, instruments and systems, along with an understanding of the various areas within the facility, from the biotechnical production areas to the related support functions within the maintenance department.  Evaluation of skills/competence of technical and/or contract staff performing maintenance work. 

  • Knowledge of functionality, maintenance and testing of equipment and instruments.

  • Decisions on acceptance or rejection of maintenance work and ensure compliance using knowledge of cGMP Guidelines/Policies or compliance codes. 

  • Ability to prepare and ensure that budget criteria’s are met.

Supervisory/Personal skills

  • Ability to manage labour relations and closely liaison with all trades, production, R&D, QA/RA, engineering, external contractors or consultants, and other site personnel as needed.  Personnel Management - Identify, co-ordinate, administer, and provide technical training, as required for personnel. 

  • Knowledge of any Federal and Corporate standards, policies or codes (i.e. Employment Standards Acts, Canadian Human Rights, Occupational Health and Safety Acts, Federal Contractor Program) related to maintenance activities.

Education/Certifications

  • Minimum three (3) year Community College or equivalent degree in Mechanical, Electrical, Industrial, or related Engineering program

  • Minimum two (2) years of previous related experience in scheduling or building maintenance planning/environment

  • Maintenance Management Professional (MMP), an asset

  • Certified Engineering Technologist (C.E.T.), an asset

  • APICS Certified in Production and Inventory Management (CPIM), an asset

  • Applied Science Technologist (A.Sc.T.), an asset

  • Certified Technician (C.Tech.), an asset

  • Professional Engineer (EIT / P.Eng), an asset

Experience

  • Good working knowledge of the planned maintenance module of SAP

  • Advanced level of Excel including Pivot tables, VLOOKUP and VBA Macro’s

  • Highly organized and detail oriented

  • Ability to handle multiple demands in a fast-paced environment

  • Experience within a GMP environment will be considered an asset

  • Excellent written and verbal communication skills.

  • Interpersonal skills and ability to function as part of a team while motivating technical staff to achieve results.

  • Problem solving skills with ability to identify root cause of equipment failures

  • Organizational skills to create a department that is at optimal productivity and consistently look to increase efficiency.

  • Experience working with production equipment such as fermentor, autoclaves, incubators, fridges and freezers

  • Experience working with clean / black utility equipment such as plant steam / clean steam generators, PW / WFI generation, distillation systems
