The Toronto site is going through a multi-year business transformation and an exciting period of unprecedented projects volume. This transformation will require new operational strategies for executing and delivering our projects and enhanced ways of working. Within Toronto Portfolio Management, the Project Management Lead directly contributes to executing and delivering our largest and most complex Industrial Affairs projects of the Toronto Site.

The Project Management Lead is responsible to manage large and complex projects or project programs (groupings of smaller projects).  

This role works closely with all project workstream leaders and project controllers to ensure projects are delivered on time, on budget and meet expectation. As deputy to the Project Leader, this role supports the leader in project strategy definition, escalation, oversight on cost & schedule, stakeholder management, etc. and represents the project when the leader needs back-up.

This role is a critical in the overall management of the projects: this role is responsible for the project(s) cross functional integration, bridging the boundaries, removing siloes and enabling the flow of information among the various workstreams, managing the coordination of the Resource Management, Scope management, Risk management, Lessons learned processes and communication / reporting consolidation (executive summary), Shine updates (Cost, FTEs and PKMs), drive conflict resolution, support the governance process (Steerco preparation, Funding request preparation, decision-making process, etc.).

When required, depending on the size of the project, the Project Management Lead might require additional reporting roles (project coordinator, external, co-ops / VIE) and will be responsible for leading, developing and managing these resources.

The Project Management Lead must interact and foster collaborative relationships with workstream controllers, project team members, Finance, site leadership, local and global PMF (Project Management Function), and the leadership from external partners or government entities.

The Project Management Lead is a Subject Matter Expert in Project Management in general and specifically in the standard tools & processes from the vaccine M&S Project management handbook and as such is a trainer for all project managers, project controllers and project leaders of our site project management training program and is the PM representative to other projects steering committees.

The Project Management Lead is a coach for junior project managers across the site and leads site-wide improvements on project management standards and methodology.

Main Responsibilities

Project Management Leadresponsibilities                                                                  60%

  • Project Cross functional integration, bridging the boundaries, removing siloes and enabling the flow of information among the various workstreams. The project manager will leverage the cross functional gate mapping and associated deliverables  to perform the cross functional integration and document it in various project documents such as project charter & PEP.

  • Coordination of the Resource Management process, Scope management Risk management process, Lessons learned, Communication / reporting (executive summary), Shine updates (Cost, FTEs and PKMs), support the governance process (Steerco prep, Funding request prep).

  • Core team Coordination / meetings / Action tracking etc. and adherence to PM Best Practices, Standard, etc.

  • Attends schedule performance reviews; Drive opportunity analyses identification, supporting schedule execution

  • Contributes to Cost month-end reviews; HC planning & management; FTEs forecast & variance analysis for internal & external resources

  • Identify and recommend opportunities for improvement, such as timeline acceleration while balancing cost and without compromising on quality

  • Shine updates: Collect, enter into Planisware (Project Portfolio management software), and maintain / update all information (cost, schedule, resources) from workstreams

  • As deputy to the Project Leader, this role supports project strategy definition, escalation, oversight on cost & schedule, etc. and represents the project when the leader needs back-up.

Project Management Subject Matter Expert                                                              20%

  • Subject Matter Expert in Project Management in general and specifically in the standard tools & processes from the vaccine M&S Project management handbook and

  • Trainer for all project managers, project controllers and project leaders of our site project management training program.

  • PM representative to other projects steering committees ensuring adherence to PM standards.

  • The Project Management Lead is a coach for junior project managers across the site and leads site-wide improvements on project management standards and methodology. 

Ensures deployment of project management standards and best practices 10%

  • Applies VIA Project Management Handbook standards and Sanofi Pasteur project management standards and best practices

  • Lead site-wide improvements of project management standards and methodology. 

People Leader – if additional reporting role required                                                10%

  • Responsible for leading, developing and managing resources (project coordinator, external, co-ops / VIE)

  • Works within the policies, procedures and regulations as required by the Company and under the Occupational Health and Safety Act.

CONTEXT OF THE JOB/MAJOR CHALLENGES

  • Working on large & complex projects or a portfolio of projects, the Project Management Lead works in constant interaction with senior leaders at the site level or at the global level.

  • Large & Complex projects require a company level of reporting and exposure to higher levels of the organization. It could include multi-sites interactions and connection with external business partners.

  • This role will require negotiating with senior leaders of the organization to ensure adequate budget and resource is allotted to the project while being flexible and adaptable to possible refinements of strategy.

  • This requires solid understanding of business impact in alignment with priorities of the company.

DIMENSIONS/SCOPE

  • Project management for the largest & most complex strategic projects of Toronto site:

    • Responsible for managing cross functional integration for project budget >15M euros with more than 5 different functions and / or multi sites and / or with external business partners or government entities

    • Interact and foster collaborative relationships with work stream controllers, project team members, Finance, site leadership, site & global PMF, and the leadership from external partners.

  • Trains and coaches project leaders / managers across the site.

  • Responsible for leading, developing and managing resources (project coordinator, external, co-ops / VIE)

  • Lead site-wide improvements on project management standards and methodology. 

About You

REQUIREMENTS

Education/Certifications

  • A 4-year University degree such as Bachelor of Science, Bachelor of Engineering or Equivalent required.

  • PMP certified or equivalent is preferred.

  • PMI Agile certification or equivalent is preferred.

Experience

  • >7 years' experience in managing strategic complex projects in challenging environment preferably in pharmaceutical industry and/or manufacturing environment required.

  • Project Management processes, project schedules, project cost estimation and forecasting experience required.

  • Ability to develop business cases, change orders, collating/consolidating work-stream financial information experience required.

  • Experience in Agile / Lean project management and Scrum agile methodology and visual management; Previous experience as ScrumMaster.

  • Experience with Planisware Portfolio and Project management solutions is preferred.

  • Expert in project risks management (risk identification, qualitative and quantitative analysis, remediation plan development and monitoring)

  • Outstanding organizational skills, time management and dealing with conflicting priorities

  • Strong interpersonal skills (with demonstrated stakeholder management, conflict management / resolution in group dynamic)

  • Advanced skills of PowerPoint, Excel and MS Office applications and efficient use company tools such as SAP, TrackWise, QeDoc, Excel etc. with the ability to adapt to new tools
