About the job
Portfolio Management Department is a dynamic Department responsible for the long-term strategy of the Vitry-sur-seine production site.
We define, in tight collaboration with Site Leadership Team and stakeholders, the Product Strategy of our plant for the next 3 to 5 years (New Product Introduction, Life Cycle Management) and we are responsible for the management of key projects (digital, ramp-up, product…) and of projects portfolio. Our Department is responsible to review, prioritize, monitor and report all projects undertaken on site.
By working in this Department, you will have the opportunity to be involved in the strategic vision of site (3-5 years) and contribute at the end to the production of medicines concerning several pathologies: cancer, neurodegenerative diseases and cardiovascular diseases.
Main responsibilities
- Lead with an End-to-End Mindset the execution of one or multiple projects in compliance with applicable codes, regulations and company standards
- Responsible for direct management of projects in cost/delay/quality/safety/performance
- Accountable for Project strategy, scope, design, execution and closeout based on project phase gate methodology
- Responsible for project resources management (internal/external): budget definition, review resource allocation, tracking and identification of resource gaps or extras
- Responsible for project cost management: budget construction, SPE submission & approval and cost monitoring & reporting
- Responsible for project scheduling: construction of detailed schedule with dependencies, tight monitoring of schedule adherence, identification of project changes and impact to schedule and communication of schedule status and risks
- Responsible for project performance: ensure all studies/works are completed as per User Specification and that no additional work is brought into the project without going through the appropriate approval process. Maintain and communicate project performance metrics to the stakeholders, setting and maintaining high expectations for team performance
- Own the project risk management: initial and ongoing identification of risks with identification of mitigation plan. Responsible for timely escalation of project issues, risks and recommended mitigation to the Head of Portfolio Management Department, Sponsor, Stakeholders of Steering committee and cross-functional support teams
- Build effective teams across organizational and functional boundaries. Ensure open and effective communication within the project team through regular project team meetings, meeting notes, action register, risk and issues register, dashboard updates, Steering Committee/Sponsor meetings and other tools as appropriate, providing direction and support to project teams
- Monitor metrics to ensure progress towards project goals, identifying and addressing systemic issues affecting execution, coordinating responses to events affecting safety, quality, schedule and cost. Provide summary reports of overall cost & schedule status and projects. Embrace and incorporate Lessons Learned from project to project
- Update the project progress summary in the tools (including Shine) by ensuring compliance with good management practices for the projects undertaken and in particular compliance with the financial rules auditable by the Group (imputations to cost centers / project numbers, commissioning/scrapping, allocation of expenses to the categories indicated OPEX/CAPEX & INT/EXT, etc.)
- Perform regular activity reporting to the client and the Project Portfolio Management (PPM) team at site and where required to the global PPM team
- Look internally and externally for best practices & digital solutions to the job scope and areas of improvement for continuous optimization of the governance related to Project Portfolio and interfaces with Functional Owners
About you
- Experience: Exposure to Production, Supply Chain, Chemical engineering, Process Technology, Project Investment, Finance, Quality and Regulatory requirements, with minimum 5 years of total industry experience. Strong knowledge of project management and project portfolio management in a manufacturing site environment, with a proven 3+ years experience in managing complex projects with significant budgets and/or significant team size
- Soft skills: Management of cross-functional teams, Strong leadership & communication skills in order to be comfortable leading across Experts, stakeholders & multinational teams, SMS capability in order to develop Ways of Working to have efficient, productive daily/weekly meetings
- Technical skills: Excellent project and technology management skills, Experience and agility on digital tool supporting project execution and monitoring, Understanding of industrial environment especially Operations in a commercial facility, A good knowledge of the constraints and regulations in force in the pharmaceutical industry (GxP, FDA, etc.), Financial acumen and understanding of industrial strategy to build the project strategy and business case
- Education: Scientific bachelor degree preferably in chemical, biochemical or pharmaceutical engineering or business / finance degree
- Languages: French (fluent) – English (good level)
