Your job?You will focus on e-billing operations (up to 40-60% of your time) while also providing support for outside counsel management and legal hold workflows. This is an excellent opportunity for someone early in their career to gain hands-on experience in legal operations while making a meaningful contribution to our team's success.
Main responsibilities:
• Billing Support: respond to routine billing inquiries from internal users and provide guidance on billing guidelines and compliance requirements
• Billing Compliance Monitoring:
- Monitor adherence to established billing guidelines and policies
- Track compliance metrics and identify patterns of non-compliance
- Generate alerts for billing anomalies or policy violations
- Assist in maintaining billing compliance documentation
• Standard Billing Reports:
- Compile monthly and quarterly billing summaries
- Create basic analytics on spending patterns and trends
- Prepare billing data for management review
• E-Billing Best Practices Development:
- Learn and apply e-billing industry best practices
- Participate in training sessions and professional development opportunities
- Stay current with Brightflag platform updates and new features
- Contribute to process improvement initiatives as you gain experience
• Administrative Support for Panel Management:
- Assist with routine communications to Panel firms
- Help coordinate agreement renewal processes
- Maintain records of outside counsel contact information and agreements
- Support preparation of materials for Panel firm meetings
• PERSUIT Platform User Support:
- Provide basic training to new attorney users on PERSUIT functionality
- Answer routine questions about platform usage
- Create and update user guides and quick reference materials
- Track common user issues and escalate complex problems
• Performance Data Collection:
- Compile basic performance metrics for outside counsel
- Generate usage reports from PERSUIT system
- Organize data for management review and analysis
- Assist with preparation of vendor performance summaries
• Exterro Legal Hold Workflow Assistance:
- Support day-to-day legal hold administration tasks
- Assist with legal hold notice distribution and tracking
- Help maintain legal hold records and documentation
- Provide basic user support for Exterro platform
• Administrative Tasks:
- Update legal hold status reports
- Coordinate with IT and other departments on hold-related requests
- Assist with legal hold training material updates
- Support legal hold compliance monitoring activities
About you
Experience: 1-2 years of professional experience (or is a recent graduate with relevant skills), No prior e-billing experience is required.
Technical skills: Basic proficiency in Excel (formulas, pivot tables, data sorting), comfortable learning new software platforms quickly, strong attention to detail and accuracy in data entry, basic understanding of business processes and workflow management.
Soft skills:Strong attention to detail, and eagerness to learn, ability to work collaboratively with legal professionals and vendors, professional demeanor and customer service orientation, proactive approach to problem-solving with appropriate escalation
Education: Bsc or Master’s degree
Languages: Excellent written and verbal communication skills in English
