About the job

Job Purpose:

The People Services Specialist works as the primary liaison between the company and governmental authorities while managing end-to-end employee lifecycle administration. This role ensures regulatory compliance across all HR processes, from pre-onboarding through departure, including social insurance management, work permits, payroll data coordination, and legal support. Acts as the company's official representative with government offices and maintains accurate employee records and documentation in compliance with local regulations and company policies.

KEY RESPONSIBILITIES AND DUTIES:

  • Pre-Onboarding & Onboarding:
    • Coordinate with new hires for the submission of required documents.
    • Process and print contracts and obtain signatures from the GM/Managers.
    • Send notification emails to stakeholders for each recruitment (Internal, External, Interns).
    • Coordinate mandatory training with training managers upon the arrival of new hires.
    • Follow up on tickets and send reminders to stakeholders via Passport.
    • Creating Workday profile for the newly hired employees comply with our Golden rules.
    • Organizing with the third-party company (IBS) to sign the employment contract for the contractors
    • Ensure sending email to the security team to be able to issue the access cards for newly hired employees
  • Payroll Data Collection:
    • Compile and submit monthly reports of new hires (both internal and external) to the T2P team.
    • Prepare and deliver monthly reports of terminated employees (both internal and external) to the T2P team
    • Submit monthly headcount reports .
    • Send overtime documentation for IA employees.
    • Submit bank account information received from the Treasury team .
    • Submit Compensation Change report .
  • Form 2 Submission:
    • Prepare and submit social insurance form 2 on yearly basis & keep closely follow up with the stakeholder until all the employees reflect in the social insurance with right value.
  • Personnel Employees Filing:
    • Ensure that we have all valid required hiring documents in the employee folder
    • Ensure that all personnel files sorted and updated.
    • Ensure that a soft copy of all hiring documents is attached to the employee’s profile in WD.
  • HR representative in legal Issues:
  • Participating in employees legal investigations
  • Following up employees legal cases with the courts and police offices
  • Supporting the Legal department in issuing Sanofi’s legal documents

Departure employees:

  • Prepare and submit Social Insurance Form 1 to the Social Insurance Authority
  • Ensure that all and only Sanofi Employees are registered in Social Insurance Authority under Sanofi coverage

Others:

  • Perform other duties as assigned.
  • Respect of company’s values, code of ethics and social charter.
  • Respect of personal data protection charter.
  • Responsible for applying the HSE related requirements for the company in all related working procedures.

About you

Education: Bachelor's degree in HR or equivalent

Experience & knowledge: Minimum 2 years of experience in operational HR activities

Special Knowledge/Skills:

  • Good understanding of and hands on experience with HR / Human Capital Management related tools & systems as e.g. Workday
  • Knowledge of Microsoft Office with advance level proficiency in Excel

Interpersonal

  • Ability to interact with internal and external clients in a professional manner
  • Ability to work transversally (business partnering)Good communication skills
  • Attentive to customer needs and feedback

Leadership

  • Ability to organize, prioritize and structure the tasks for oneself and direct reports
  • Attentive to detail and works with precision
