The Talent Acquisition Assistant will provide comprehensive administrative and organisational support to the Global Head of Talent Acquisition, Global Head of Talent Management and the wider Talent Acquisition leadership team. The ideal candidate will possess exceptional organisational skills, attention to detail, and the ability to handle multiple tasks simultaneously. This position requires a proactive and resourceful individual who can maintain confidentiality while effectively supporting the Talent leadership team.
Our Team:
The Talent Acquisition team is responsible for all external & internal hiring (~20K Hires in FY24) into Sanofi. Recruitment is delivered through a Hybrid model, a mix of specialized internal recruiters and external RPO providers.
This role in the Talent Office COE reports to the Global Head of Talent Acquisition.
Main responsibilities:
- Provide administrative and talent acquisition support to the wider Talent Acquisition team, including scheduling meetings, maintaining candidate databases, and assisting with recruitment-related tasks.
- Assist in the onboarding process for new hires, ensuring a seamless transition by coordinating orientation schedules, preparing onboarding materials, and providing necessary support.
- Schedule and coordinate interviews on behalf of Global Heads of TA and TM, liaising with candidates and interviewers to ensure availability and a smooth interview process.
- Manage the Global Head of Talent Acquisition and Talent Management calendars, scheduling appointments and coordinating meetings to optimise time efficiency.
- Arrange travel itineraries, considering cost-effectiveness and time constraints, including flights, accommodations, and transportation.
- Prepare and edit correspondence, presentations, reports, and other documents (eg: Visa and immigration support) as required.
- Act as a liaison between the Talent Acquisition team and internal/external stakeholders, maintaining effective communication and professional relationships.
- Raise purchase orders (POs) and handle vendor management, overseeing all stages from set up to payment.
- Proactive maintenance of departmental email distribution lists.
- Screen and prioritise incoming calls, emails, and other forms of communication, responding or redirecting as appropriate.
- Assist in the preparation and coordination of meetings, conferences, and events, including logistics, materials, and catering arrangements.
- Off-site events may include international travel, on-site support including logistical coordination and hands-on assistance during workshops and meetings.
- Conduct research and compile data to support the Global Head of Talent Acquisition in decision-making processes.
- Maintain and update confidential files, records, and databases, ensuring accuracy and accessibility.
- Handle sensitive and confidential information with discretion and professionalism.
- Proactively identify opportunities to improve administrative processes and implement efficient solutions.
About you
Experience and skills:
- Proven experience as a Talent Acquisition Assistant, Coordinator, or similar role, preferably in a fast-paced corporate environment.
- Event coordination and or management experience essential.
- Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
- Strong attention to detail and accuracy, ensuring high-quality deliverables.
- Exceptional written and verbal communication skills, with the ability to interact professionally at all levels.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle confidential information with integrity and maintain a high level of discretion.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
- Flexibility to adapt to changing priorities and work under pressure.
- Knowledge of talent acquisition processes, including interview scheduling, onboarding, and vendor management, is a plus.
- Knowledge of the pharmaceutical industry is a plus
Education: Professional or academic qualification or experience in Business Administration, Human Resources, or a related field.
Languages: Fluent in English is a must
