Team Assistant – Dermatology & Respiratory

Summary of Responsibilities

Join our dynamic Dermatology & Respiratory Franchise as a Team Assistant and become the operational backbone that drives success across our brand teams. In this pivotal role, you'll orchestrate seamless project delivery, support management of high-profile events and congresses, ensure compliance excellence, and provide strategic support that directly impacts patient outcomes. You'll work at the intersection of marketing, sales, and operational functions, collaborating with diverse stakeholders while managing everything from materials logistics to budget coordination and vendor relationships.

Key Results & Accountabilities

Dermatology & Respiratory Teams Support

Brand Team Excellence

  • Liaise and coordinate with external agencies to meet Brand Team requirements and coordinate comprehensive feedback
  • Support Brand Teams with strategic briefing documents and presentation materials
  • Participate in monthly finance meetings, assisting Brand Leads with budget tracking and financial oversight
  • Serve as the primary point of contact for general enquiries from internal and external stakeholders
  • Manage PromoMats logistics including warehouse materials coordination and approval processes

Field Force Empowerment

  • Coordinate CPG logistics and material management to ensure field teams have seamless access to required materials
  • Provide comprehensive support for briefing calls and regional sales meetings setup
  • Deliver logistic support that keeps our field-based sales teams operating at peak efficiency
  • Manage demo pen ordering and coordinate materials dispatched directly to customers

Information Management

  • Maintain departmental filing systems in strict accordance with records retention policies
  • Update and maintain critical information on SharePoint platforms

Projects & Event Management

Event Coordination

  • Organize high-impact meetings including Marketing Meetings and PromoMats Review Meetings
  • Manage logistics for external and sponsored events, including prestigious industry events like BAD (British Association of Dermatologists)
  • Coordinate Head Office sponsorship activities with attention to detail
  • Record actions and decisions for key meetings, ensuring follow-up within agreed timelines
  • Manage events agencies and liaise with internal stakeholders for successful event delivery
  • Oversee Congress management in conjunction with the Speaker Meetings and Congress Project Manager

Project Leadership

  • Provide comprehensive project management support for ongoing departmental initiatives
  • Handle behind-the-scenes coordination for internal meetings and strategic sessions

4M PromoMats & Materials Management

Materials Excellence

  • Manage complete job bag process for marketing materials and Speaker Slides as required working closely with brand teams, including origination and uploading
  • Coordinate and monitor materials re-approval processes within specified timelines
  • Organize thorough hard copy reviews of printed materials
  • Manage filing and archiving processes in line with retention and destruction SOPs
  • Act as primary liaison between logistics agencies and Sanofi for materials-related issues and actions
  • Execute orders, returns, and withdrawals with precision
  • Support brand leads in promomats audit delivery
  • Oversee congress and exhibition materials management
  • Generate comprehensive monthly inventory reports

Finance & Procurement Excellence

  • Generate Purchase Orders as requested and approve orders up to £1k
  • Serve as SuperUser for critical systems: Ebuy, Concur, SharePoint, Easy Invoice
  • Handle third-party payments and speaker expenses including processing, verification, and approvals
  • Coordinate vendor setup and liaison with Transparency team for compliance requirements

ABPI Code L3 Compliance Leadership

  • Raise and manage iDisclose and E&C360 requests through to completion
  • Oversee contracts and payments for transfers of value
  • Support speaker meetings coordination and compliance
  • Champion E&C360 initiatives across the organization

  • Specialized Systems: Familiarity with procurement and compliance systems (Ebuy, Concur, SharePoint, Easy Invoice) preferred
