Our Team:

Sanofi Business Operations (SBO) – Medical Services is an internal Sanofi resource organization based in India and is setup to centralize processes and activities to support Specialty Care, Vaccines, General Medicines, CHC, CMO, and R&D, Data & Digital functions. Sanofi Global Hub strives to be a strategic and functional partner for tactical deliveries to Medical, HEVA, and Commercial organizations in Sanofi, Globally.

Main responsibilities:

Event Leads ensures the flawless execution of event plans within their areas of responsibility, whether those are geographic, or business unit based. She/He will supervise the end-to-end operation of all events within her/his scope, such as patient and healthcare provider congresses and conventions, internal sales meetings, standalone meetings or webinars, advisory board meetings, and speaker training meetings for healthcare providers, as well as large-scale internal meetings.

Event Leads work independently, under minimal direction, using their own expertise and judgement in decision making that serves Sanofi’s purpose and goals, focusing on efficiency while always staying compliant at every level. This is a management role that will coordinate activities with third-party agencies, marketing, commercial and medical teams, as well as compliance and legal representatives to ensure consistent company representation at internal and external events.

The role requires project management and communication capacity, as well as a focus in process improvement and best practice sharing and implementation, in alignment with Sanofi’s Play to Win strategy. 

  • People: (1) Mentor the team on day to day as well as exceptional cases/ situations; (2) Monitor progress of work and provide solution to issues and queries;(3) Resource and back-up planning for business continuity;(4) Provide suggestions on scientific events & external expert engagement process with respect to regulated countries;(5) Identify areas for innovation and implement with external and internal partners;(6) Act as key contact and thought partner for Global Meetings and events team ;(7) Effective work allocation to the team;(8) Share best practices and serve as a change agent and facilitator for operational excellence;(9) Support team initiatives and objectives, identify and recommend process improvements and other value-added initiatives

  • Performance: (1) Collaborate with global stakeholders for future projections and setting up the timelines; (2) Ensure that team delivers the ongoing projects as per agreed timelines; (3)Ensure that team follows defined/agreed quality parameters/review before sending out deliverables to the stakeholders;(4) Support team to get resolution on timely basis for technical glitches; (5) Closely monitor projects, ensure timely completeness of project tracker, archival of documents in repositories, and maintaining other necessary tracking tools in order to keep trackers and repositories audit readiness; (6) Support Team in effective management of multiple projects in parallel

  • Process: (1) Ensure the successful and timely execution of the brand/budget owner’s vision and strategy; identify risks early in the process and set up a risk mitigation plan. (2) Lead transversal brand teams, creative agencies, and exhibit vendors for the best end-to-end experience at every event that meets/exceeds the expectations of our internal and external stakeholders. (3) Serve as an expert for innovative event management, as well as advisor for successful advertisement and engagement tactics. (4) Oversee Event Specialists, when appropriate, in the implementation of all event activities and processes within their scope. (5) Put in place qualitative and quantitative tools to evaluate and track performance, ensuring timely feedback and recommendations for internal stakeholders to improve future events. (6) Drive the alignment of operations to the One Sanofi platform and experience, modelling flexibility in the face of change. (7)Deliver cost efficiencies and synergies by collaborating with peers and members of their teams, ensuring optimal execution of the events strategy and its communication to internal stakeholders. (8) Transform processes by leading the way in the implementation of the cVent digital platform, Always On playbook, and other One Sanofi digital initiatives. Influence the move towards hybrid events.

  • Stakeholders: (1) Support Global Meeting and Events team for event planning, resource allocation and ensure the business continuity as per agreed plans; (2) Work with GM&E and other internal stakeholders for process improvements, risk mitigation plans, and new initiatives;(3) Drive effective collaboration with stakeholders to understand their requirements and to propose solutions in-line with their expectations; (4) Maintain effective working relationship with stakeholders and work with them to provide solutions on ongoing issues/problems;(5) Collaborate with other event leads across locations in consistent process and practices; (6) Maintain regular governance with various stakeholders and ensure to adhere to SBO Medical operating manual

About you

  • Experience: A minimum of 8 years of professional experience in the planning of meetings, congress advisory boards and other events, with a deep understanding of the end-to-end process. And a minimum of 3 years of project management activities in a complex matrix environment
  • Soft skills:
    • Strong interpersonal skills, customer service orientation.
    • Excellent verbal and written communication skills at all organizational levels.
    • Event and congress expertise. Deep understanding of processes related to meeting planning, maximizing engagement while maintaining compliance.
    • Financial acumen as it relates to budget management and spend analysis.
    • Ability to influence, collaborate, negotiate, and deliver solutions in a complex environment.
    • Innovative mindset, change management profile.
    • Able to adapt to changing business priorities.
    • High attention to detail.
    • Digital literacy.
    • Accountability and sense of urgency, able to find flexible solutions on the spot when challenges arise.
    • Project management. Superior organizational and adaptability skills.
  • Technical skills: MS office (including Teams, SharePoint), project management tools such as Smartsheet, JIRA, other equivalent tools. Knowledge of cVent/eVent, One CRM, Veeva and SpotMe.
  • Education: Postgraduate in any discipline (e.g., MBA, MS, PhD )
  • Languages: Excellent knowledge of English language (spoken and written)
