Global Business Services (GBS) was established as a new transversal, multi-disciplinary function supporting and accelerating Sanofi’s transformation towards establishing a sustainable standalone Consumer Healthcare business through the implementation of a set of operational legal presence across in-scope markets. Consumer Healthcare (CHC) Global Business Services (GBS) drives transformation projects to ensure it delivers best in class processes in terms of quality, cost, performance, customer satisfaction and needs, supported by high quality master data and performance KPIs.
For PEOPLE SERVICES, GBS will be covering the following areas of the process:
- Organization & Employee Master Data: data accuracy and data completeness
- Employee Life Cycle Management: from hiring to retiring, including contract and job changes
- Employee queries: global and local articles, ticketing
- External Workforce: data management, onboarding and offboarding
- Transversal: reporting, compliance, continuous improvement
- Time to Pay (T2P): payroll data, calculation, post payroll and support activities
The purpose of this role is to:
Employee Life Cycle
- Manage Entry, contract event, Leave Of Absence, leave encashment, carry forward leave, career moves, Exit, International hiring and moves, reporting
- Work with external vendors on Workday leave & CRM leave validations
- Liaise with HR, managers, Digital, Facilities, Security whenever needed
- Support in submission of regular statistical reports on HR information by collecting, analyzing, and summarizing data
- Conduct workday training sessions for employees and people manager
- Support monthly reconciliation between Payroll and Workday systems to ensure Workday data is correct
- Support where required on submission of employee data
Employee Queries
- Manage and promote articles available as Self Service – Level 0
- Ensure a customer experience when responding to employee queries,
- Apply the Service Level Agreement and monitor KPIs
- Ensure that all tickets for the team are being closed as per the SLA’s defined
External Workforce
- Once selected, update the system with EWF data
- Manage on and offboarding
- Manage queries related to External Workforce
- Manage EWF reporting
- Liaise with HR and Procurement whenever needed
Contract Management
- Draft, prepare, and issue offer letters to selected candidates based on approved templates and job offers
- Ensure accuracy of compensation, benefits, and employment terms in each offer letter.
- Coordinate with P&C or R&P to customize offer letters when required.
New joiner document collection
- Communicate with new hires to collect all necessary documentation (e.g., identification card, academic certificates, bank account, etc.).
- Store/ save necessary documentation online and file physical employee files (if require)
Background checks
- Initiate and manage background checks for all new employees in accordance with company procedures and policies
- Liaise with third-party background check service providers to ensure timely and accurate reporting
- Review background check reports and flag any discrepancies or concerns to P&C for further investigation
Pre-medical checkup
- Schedule pre-employment medical checkups for new hires in collaboration with designated medical facilities
- Ensure timely completion of the medical checkup process and follow up on results
- Maintain confidentiality of medical information and ensure compliance with privacy laws
- Store/ save necessary pre-medical checkup report online and file physical employee files (if require)
- Review background check reports and flag any risks or concerns to P&C for further discussion with hiring manager
Transversal
- You will closely work with PEOPLE SERVICES Payroll Specialists applying our global Core Model
- The Employee and External Life Cycle Senior Specialist will actively contribute to a great Employee Experience: assist candidates and employees with all the available self-services, assist managers and HR partners in their day-to-day administrative tasks
- The Employee and External Life Cycle Senior Specialist shall contribute to our Continuous Improvement process by providing feedback on known issues, propose ideas, take initiatives, share best practices
- The Employee and External Life Cycle team is also impacted by business initiatives such as new merger or acquisition, divestiture, new technology, outsourcing projects…
He / She works closely with P&C, Legal, Finance, Digital and Facilities management at regional and country levels and People Services teams in countries and KL Hub.
Expected skills
Functional
- Thorough understanding of end-to-end ELC & Benefit processes and activities (essential)
- Understanding of Onboarding, Offboarding, time & attendance, compensation, taxation, benefits, and pension processes (advantageous)
- Good understanding of HR process and activities (essential)
- Awareness of data privacy rules (GDPR etc.) (advantageous)
- Strong problem solving, deductive and analytical skills (essential)
- Experience in running HR/Payroll services within a Business Services organization (advantageous)
- Good business acumen (advantageous)
Technical
- Good understanding of and hands on experience with HR / Human Capital Management-related tools & systems (essential) as e.g. Workday & SAP (advantageous).
- Knowledge of Microsoft Office with advance level proficiency in Excel (essential)

- Ability to interact with internal and external clients in a professional manner (essential)
- Team player, able to work collaboratively transversally and with HRS front line teams with an end-to-end mindset (essential)

Background and Experience
- Graduate degree with specialization in HR or business administration
- 3 - 5 years hands on experience in HR, support areas, transformation project, HR Operations, or related field in an international, multicultural, complex environment (advantageous)
- Experienced in payroll processes, policies, and systems landscape harmonization (advantageous)
- Experience in working remotely with different teams (advantageous)
